ActionAid Nigeria is inviting applications from qualified candidates to fill the Logistics Advisor role. 

Below is the job description for the role:

Position:                    Logistics Advisor                       

Responsible to:         Director, People & Culture         

Location:                    Country Office, Abuja

Grade:                        7

Line Management:    Logistics supports personnel, Consultant Drivers, and Security personnel

Job Purpose: The Logistics Advisor who reports to the Director, People and Culture will be responsible for coordinating the Logistics units, travel arrangements, manage and maintain office premises and organizational assets both at the Headquarters and the Lagos office.

Specific Responsibilities:

Travel Management

  • Ensure effective coordination of travel arrangement for AAN staff, partners  and visitors coming to Nigeria including visas and ticket purchases
  • Ensure welcome pack and other documents relating to travels and logistics are shared
  • Facilitate vehicle purchase for AAN as well as coordinate vehicle registration, insurance, maintenance and other issues relating to vehicles.
  • Coordinate the management of AAN fleet and ensure vehicle allocation are systematized

Administration

  • Contribute to the development, implementation and interpretation of vehicle and security policies
  • Lead on the development and maintenance of fixed asset register and disposal
  • Ensure maintenance of AAN facilities and support procurement process for organisational assets at HQ and Lagos office.
  • Work with Partner organizations to ensure effective maintenance of all AAN assets
  • Ensure proper documentation of vehicle licenses of AAN drivers, consultants and approved drivers of AAN vehicles
  • Coordinate the processing of work visa/permit for AAN and concerned AA staff and international visitors

Security

  • Support the Director, P&C in managing the safety and security issues for staff and ensure that security procedures are implemented and complied with
  • Ensure safety and security equipment are in place for staff both at the HQ and all office locations
  • Support Director, P&C to facilitate and motivate staff to understand and comply with Safety & Security Policy and procedures.
  • Participate in security forums, UN security meetings etc. to stay updated on security situation and share this information with Security task force group.
  • Manage office guards, compound and site security, travel security arrangements, and other operational security matters with the support of other Security task force group members.
  • Report all safety & security incidents on the Incident Reporting System to the D, HROE.

Key Working Relationships:

Internal:          Entire AAN Staff.

External:         Service providers, Partners and other stakeholders.

Education/Qualifications:

  • First degree in social sciences or arts/humanities is essential.
  • Membership of relevant Logistics professional bodies/ travel agencies is desirable. 

Experience:

  • At least five years work experience in Logistics or related function is essential.
  • Experience managing vehicle fleet, including scheduling and maintenance is essential.
  • Experience supporting development and implementation of security policies and operations is essential.
  • Experience managing asset register is essential.
  • Experience in working with international development of NGO agencies is desirable.
